1.1 Background of the Study

In recent years, higher education institutions across the globe have been grappling with the challenges of effectively managing administrative tasks. These tasks, which include student admissions, course scheduling, grading, financial management, and faculty evaluations, can be time-consuming, resource-intensive, and prone to human error. With the increasing size and complexity of student populations in Nigerian universities, such as Bayero University in Kano State, the pressure on administrative systems to be more efficient and effective has risen significantly (Okoro & Olayinka, 2024).

Artificial Intelligence (AI) presents a promising solution for automating and streamlining many of these administrative processes, enabling universities to improve operational efficiency, reduce administrative costs, and provide better services to students and staff (Oluwatayo & Afolabi, 2025). AI tools, such as natural language processing (NLP), machine learning, and predictive analytics, can be used to handle routine tasks like processing applications, scheduling courses, managing financial transactions, and conducting faculty evaluations. By automating these administrative functions, universities can reallocate valuable resources to teaching and research activities.

At Bayero University, Kano, the adoption of AI technologies could significantly transform the administrative landscape, offering the potential for streamlined operations, faster decision-making, and enhanced support for students and faculty. However, the implementation of AI in administrative functions also poses challenges such as resistance to change, concerns about data privacy and security, and the need for specialized technical skills among university staff. This study aims to assess the prospects, challenges, and potential impacts of implementing AI to streamline administrative tasks at Bayero University, Kano.

1.2 Statement of the Problem

Bayero University, Kano, like many Nigerian universities, faces challenges associated with the management of its vast and complex administrative processes. These tasks, such as handling student admissions, processing financial records, and scheduling courses, are still largely conducted manually or through legacy systems that are not optimized for efficiency. As a result, administrative bottlenecks, delays, errors, and miscommunications are common, affecting both students and staff.

The introduction of AI-driven systems offers a potential solution by automating many of these processes. However, the transition to AI-based systems is not without its challenges. There is a lack of awareness and readiness among faculty and staff to embrace AI technologies, compounded by concerns about the security and privacy of sensitive student and financial data. Furthermore, there may be a gap in the technological infrastructure necessary for the smooth integration of AI systems. This study aims to examine the potential benefits of using AI to streamline administrative tasks at Bayero University, Kano, while addressing the challenges that may hinder its adoption.

1.3 Objectives of the Study

1. To assess the potential benefits of implementing AI to streamline administrative tasks at Bayero University, Kano State.

2. To identify the challenges faced by Bayero University in adopting AI technologies for administrative functions.

3. To evaluate the feasibility of scaling AI-driven administrative processes within Bayero University, Kano, and other Nigerian universities.

1.4 Research Questions

1. What are the potential benefits of implementing AI technologies to streamline administrative tasks at Bayero University, Kano?

2. What challenges do faculty, staff, and students face in the adoption and implementation of AI-driven administrative systems at Bayero University, Kano?

3. How feasible is it to scale AI-driven administrative systems at Bayero University, Kano, and other tertiary institutions in Nigeria?

1.5 Research Hypothesis

1. The implementation of AI to streamline administrative tasks at Bayero University, Kano will lead to increased efficiency and reduced operational costs.

2. Resistance to change, lack of technical expertise, and data security concerns will hinder the effective adoption of AI technologies in the administrative functions at Bayero University, Kano.

3. AI-driven administrative systems can be successfully scaled at Bayero University, Kano, and have the potential for wider adoption across Nigerian tertiary institutions.

1.6 Significance of the Study

This study is significant because it explores the transformative potential of AI in higher education administration, focusing on Bayero University, Kano, one of Nigeria's prominent tertiary institutions. The findings will provide valuable insights into the ways AI can enhance operational efficiency, reduce administrative costs, and improve the overall academic experience for students and faculty. Additionally, this research will inform university administrators, policymakers, and stakeholders about the challenges and strategies for successfully integrating AI technologies into Nigerian universities. The study also contributes to the broader body of knowledge on AI adoption in higher education, offering a case study that other universities in Nigeria and across Africa can use as a reference when considering AI implementation.

1.7 Scope and Limitations of the Study

This study focuses on the implementation of AI technologies to streamline administrative tasks at Bayero University, Kano, and examines the benefits, challenges, and feasibility of AI adoption in the institution. The scope is limited to administrative functions such as student admissions, course scheduling, financial management, and faculty evaluations. The study is also confined to the perspectives of faculty, staff, and administrators, excluding the views of students, which may provide valuable insights into the user experience of AI-driven administrative tools. Furthermore, the findings of this study may not be generalizable to all Nigerian universities, as the technological infrastructure, administrative culture, and readiness for AI adoption vary between institutions.

1.8 Operational Definition of Terms

1. Artificial Intelligence (AI): The use of algorithms and machine learning technologies to automate decision-making processes and perform tasks that typically require human intelligence.

2. Administrative Tasks: Routine university functions such as student admissions, course scheduling, grading, and financial record management.

3. Automation: The process of using AI tools and systems to perform tasks that were traditionally done manually, leading to increased efficiency and accuracy.

4. Operational Efficiency: The ability of an institution to perform its administrative tasks with minimal time, cost, and resources.

5. Feasibility: The practicality and likelihood of successfully implementing AI technologies in an institution's administrative processes, considering technological, financial, and human resource factors.
